Take One Action Film Festivals are committed to protecting your privacy and personal data and being transparent about what information we hold about you. We work hard to ensure that our activities uphold our high standards and we will only use your personal data on relevant lawful grounds, as permitted by the EU General Data Protection Regulations (GDPR 2018) and the UK Data Protection Act (1998).

Who we are

We are Take One Action Film Festivals, a UK limited company (no. 376976) with charitable status in Scotland (SC041430). Our registered address is 32-36 Dalmeny Street, Edinburgh, EH6 8RG.

What personal data we collect and why we collect it

Personal data is any data which may identify you, or be identified as relating to you. For example, your name, address, phone number and email address.

Take One Action Film Festivals will only collect the personal data that we need to allow us to process your ticket transactions, connect with you via our website and to keep in touch with you via our mailing list and social media channels. This information may include your name, email address and postal address. On occasion (usually at our live events) we may also ask for personal information such as gender, age, access requirements and so forth which will be anonymised and used to compile audience demographic data for evaluation and reporting. This is entirely optional and, once processed, shall be stored separately from any identifying data (name, email address etc.)

In addition, we may record information about your visit to our website, such as pages viewed, length of visit and any search terms you use, in order to improve our website and offer a better user experience. More information on the specific data our website gathers can be found below:

1. Contact forms

When contacting us via the online contact form you will be asked for your contact details. Your submitted enquiry, and attached personal information, will be stored for a maximum of 3 years for customer service purposes. We do not use the information submitted for marketing purposes.

2. Cookies

Cookies are small pieces of information that may be stored by your browser on your computer’s hard drive. They make it possible for us to provide our online ticketing service and track visitor statistics, such as returning visitors, and allow you to stay logged in to our website.

3. Embedded content from other websites

Pages on this site may include embedded content such as videos, images or news articles published from other websites (most often Youtube and Vimeo). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website. These websites may collect data about you, use cookies, embed additional third-party tracking and monitor your interaction with that embedded content. 4. Analytics

We use Google Analytics to collect information about the number of users our site welcomes, which pages are visited, and how users navigated to our website. This data is collected anonymously, and is used to help improve this website’s functionality. You can opt out of being tracked by Google Analytics across all websites by installing Google’s opt-out browser add-on.

Who we share your data with

We will never sell your personal data or share any identifiable personal data with any third parties.

We may share anonymised demographic information with our funders, such as creative Creative Scotland, who use this information to analyse and measure our ticket sales, as well as our outreach and impact. This data will only be collected in person, at our live events, when consent is given; it will not be drawn from any online activity.

To process ticket purchases through our website we work with PayPal, a third-party payment method. We do not have access to any information that you provide via this platform and you can find their Privacy Policy here.

How we store your data

We take every precaution to protect your information. To this end, all personally identifiable information stored by us is kept on a password protected server in a secure environment. Only employees who need the information to perform a specific job are granted access to personally identifiable information. All demographic data (gender, age etc.) is anonymised and stored separately from any identifiable data.

Regular security reviews are held by us to ensure that our servers remains safe and secure for your protection.

What rights you have over your data

The only personal data that we hold is that which has been obtained through consent – either through our audiences creating an account on our website, signing up to our mailing list, or completing a feedback form at one of our events. We will only use this information to deliver the services you have opted in for (e.g. email newsletters, purchasing a ticket).

Under GDPR, where we are using your data under consent, you have the right to withdraw that consent at any time. If at any time you wish to “opt-out” of such use then please contact us (see below). Alternatively, click on the ‘unsubscribe’ link at the bottom of any of our email communications to be removed from our list.

If at any time you wish to request information about what data we hold about you you can make a Subject Access Request by contacting us in writing. You can also request that we erase any personal data we hold about you at any time. To do so please contact us via the options below.
